Penn State’s College of Education’s Office of International Programs is seeking an administrative professional to join the team in supporting Hubert H. Humphrey Fellows, international and domestic students, and visiting scholars. The position requires monitoring and resolving of expenditures, resolving discrepancies, handling cash receipts, submitting and processing travel reimbursements, submitting purchase orders, and reconciling direct bill expenses. The Administrative Support Assistant collaborates with the College Research Office staff to ensure expenditures on research budgets are reasonable, allowable, and applicable. The position also assists with the oversight of federal budgets, including invoicing, expenditure reporting, and budget maintenance. As such, this role is also responsible for ensuring compliance with federal, state, Penn State, College of Education, and department policies and procedures for all budgetary transactions and reviewing transactions and forms for accuracy. This position also performs office support duties such as greeting visitors; answering and directing telephone calls; and providing information. The Administrative Support Assistant provides support for J-1 and J-2 visa documentation, DS-2019 requests, Grantax, and helping short-term international visitors. The position plans and organizes special events, gathers corresponding information as assigned, utilizes spreadsheets using Excel, maintains files and databases, distributes mail, and maintains inventory of office supplies. The Administrative Support Assistant also provides administrative support to office staff, troubleshoots copier, fax and other office/conference equipment, arranges maintenance and processes work orders if needed. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Proficiency with Microsoft Office, including Word, Outlook, PowerPoint, and Excel is preferred. Prior experience with human resources, financial and travel reimbursement systems is also preferred. The successful candidate must be self-motivated, work well both independently and in a team setting, and have exceptional organizational, prioritization, cross cultural competence, and customer service skills. Attention to detail and demonstrated ability to learn new skills are critical. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
