The Department of Civil and Environmental Engineering (CEE) at The Pennsylvania State University is seeking a highly motivated, detail-oriented individual to join our team. Responsibilities of the position include, but are not limited to: providing administrative support to the graduate program office, graduate program chair, and current graduate students. Assist students with scheduling meetings, exams, advising, and course scheduling. Manage and direct all activities related to the planning and execution of the graduate student recruitment weekend, new student orientation, graduate retreat, and other departmental events as needed. Process graduate assistantships; process all doctoral student exams, track and record SARI requirements, maintain graduate student list serve, update graduate program handbook and bulletin. Collaborate with the department's communications strategist as needed. Coordinate student visits. Monitor, track, and approve graduate student requests for travel support, assist with the processing of travel reimbursements. Provide backup support to the Undergraduate Coordinator and the Undergraduate staff assistant as needed. Provide administrative support to the Department Head. Compile and gather data to conduct studies, create reports and presentations; collect information on rankings and accreditation. Develop and maintain databases. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Experience with GRADS, LionPATH, WorkDay, and Microsoft Office preferred. Excellent verbal and written communication are essential. Candidate must demonstrate professionalism with a high commitment to customer service; organizational skills with attention to detail and accuracy; ability to manage and prioritize tasks with minimal direction; and exercise discretion and judgment while managing confidential information.
