Description

The Office of the Vice President for Commonwealth Campus (OVPCC) is seeking an experienced Administrative Support Assistant to provide support to the Associate Vice President and Senior Associate Dean for Academic Programs, Assistant Vice President, Executive Director for Academic Services and Assessment and the Analysis and Planning Consultant. Responsibilities include: organizing, coordinating and implementing activities for complex/highly confidential administrative and academic processes/projects for the commonwealth campuses and OVPCC such as serving as the primary contact for all Accreditation Board for Engineering and Technology (ABET) correspondence and evaluation materials; track and maintain ABET accreditation files; coordinate the University Faculty Senate Senator elections for the University College; assist the Penn State Laureate with scheduling campus visits to the University Colleagues. Maintain a system to track the status of academic proposals and articulation agreements and maintain databases for all approved programs. Provide support for academic records functions, including certifications for professional licensure, faculty senate petitions, clinical experience agreements and student compliance requirements for dual enrollment and internships. Answer inquiries and resolve problems; gather information and coordinate with other University offices/personnel to make informed recommendations; respond to or refer communications; research, compile and prepare information, background materials and actions on a variety of topics for meetings, reports and presentations; manage calendars, coordinate travel logistics and process ERS expenses, schedule campus visits, compose communications, develop and maintain databases, and PowerPoints; plan and organize meetings including Zoom conferences; attend meetings and prepare minutes/notes. This job will be filled as a level 3, or level 4, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience for a level 3. Additional experience and/or education and competencies are required for higher level jobs. Experience in a large academic unit of the University, knowledge of University policies and procedures, Microsoft Office products, WorkLion, Curricular Review and Consultation System, Employee Reimbursement System (ERS) and Qualtrics is preferred. Applicants must have excellent interpersonal, communication and organization skills, be able to multi-task and work in a collaborative team-based work environment.
