The Hospitality Services Specialist ensures standards of continuous quality improvement are met and provides leadership for outstanding customer service at all levels of the organization; defines goals for future organizational performance and decides on the tasks and use of resources needed to attain them; communicates goals to employees and/or the organization; uses influence to motivate employees to achieve organizational goals; possesses an in-depth knowledge of their area of expertise and able to improve performance by using analytical skills; demonstrates a commitment to deliver superior quality customer service, a high level of performance, the ability to work with diverse customers, and the ability to work collaboratively, problem solve, and work in teams. The Penn Stater Hotel is seeking a highly motivated, friendly, and guest-focused full-time Conference Concierge within the Conference Services Department. This position has high guest interaction and will be a front-line liaison for internal and external customers. This individual will be responsible for general office support including but not limited to making and distributing signs and postings for all events, running daily/weekly/monthly reports, assisting Conference Services with the Banquet Event Orders and all changes, assembling and distributing event order packets, handling all incoming and outgoing mail, greeting guests, answering phones, and providing directions and information for all conferences/conferees. This position will also assist with customer packages/shipping for trade shows and exhibits and will coordinate all charges with the conference service managers. Typical Duties performed include: Serve as first line liaison for internal and external contacts and guests; Assist with general office support i.e. run daily reports, make and distribute signs for all conference rooms, create and distribute conference postings, run distribution packet, assist with banquet event book and orders, handle incoming and outgoing mail; Greet guests, answer telephones and provide directions and information for all conferees; Evaluate guest needs and provide appropriate services by contacting other departments and following through to make sure the guests needs are met; Operate various equipment and computer systems and software as required. Including copy machine and fax. Liaison for copy machine repairs. Working knowledge of the Delphi system; Maintain knowledge of University policies, procedures, and practices to answer routine inquiries or solve routine problems; Communicate rates and charges to conference services managers for any additions made to conferences. Assist with customer packages/shipping for trade shows/exhibits; Maintain a high level of customer service; Assist in training new employees. Typically requires an Associate's degree or higher plus two years of related experience, or an equivalent combination of education and experience. Strong support of diversity and inclusion in the workplace is required. It will require the candidate to operate various equipment and computer systems and software including copy machine, fax and have a working knowledge of the Delphi online conference event system and will be the Liaison for all copy machine repairs. This is a 40 hour a week position with days and hours varying due to business levels. This is a fixed term position funded for one year from date of hire with excellent opportunity for renewal and is eligible for Penn State full time employee benefits.
