The Penn State Department of Electrical Engineering in the School of Electrical Engineering and Computer Science (EECS), College of Engineering, is seeking an energetic, motivated, and experienced Financial Staff Assistant (Center Staff) for the faculty located in the Electrical Engineering West Building. This individual will provide support to faculty and their students to include reconciling purchasing card receipts, travel reimbursement, purchase requisitions, approving invoices for payments, etc. Obtaining information from the faculty for student support as Graduate Assistants and process appointments. Update and provide input in the Graduate Database (Microsoft Access). Process IBIS documents (IDCC, SRFC, JV and ROCR) and resolving FANS Window. Monitor budgets to ensure there are sufficient funds for processing IBIS documents and reconciling p-card charges. Provide FIT reports or detailed reports as requested by faculty. Obtain all necessary completed forms for purchases such as Cost Account Justification, check list and Sole Source Justification and tax-exempt certification. Prepare memos and spreadsheets. Provide support scheduling EE conference/seminar rooms and faculty schedules for committee meetings. Maintain and order supplies as needed. Report maintenance needs for the copier as needed. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. This job prefers knowledge in Microsoft Office 365 (Word/Excel/Access), WorkLION, iTwo, ERS, IBIS, eBUY, FIT, Adobe PDF, as well as familiarity with purchasing card and travel policies and procedures. Professional representation required with excellent verbal and written communication skills, high level of attention to detail and organization, the flexibility to handle multiple tasks concurrently, and have a genuine appreciation in working with diverse audiences. This person is expected to work collaboratively as a team member, but also be comfortable working independently as needed.
