Description

The College of Agricultural Sciences Office for Research and Graduate Education is seeking a detail oriented and experienced Administrative Support Assistant to be responsible for coordinating Agricultural Experiment Station (AES) projects and budgetary and financial operations of the office. AES project management to include screening, assembling, and reviewing materials submitted for AES project initiation, and annual and termination accomplishment reports. Communicate with departments for additional information and/or documents. Serve as liaison between United States Department of Agriculture (USDA) and departments to adhere to federal auditing requirements and college policies/procedures. Prepare, process, and reconcile budgetary documents and accounts for the Research and Graduate Education Office, three off-campus Research and Extension Centers, and the USDA Pasture Systems and Watershed Management Research Unit that consists of approximately 50 different accounts from state and federal appropriated funds; state, federal, and industry agreements, internal awards, and endowments. Prepare and enter wage payroll requests and information into Workday or WorkLion as appropriate; monitor wage payroll process; and serve as timekeeper. Responsible for Invention Disclosure management to include review information submitted from departments for completeness; edit forms as needed; follow-up for additional information as necessary; route to other college departments for review; and perform periodic data comparisons with information provided from the Intellectual Property Office. Maintain and manage digital files and databases for all budgetary, human resource, AES and multi-state project, and invention disclosure activities. Utilize university and federal systems to complete assigned tasks – IBIS, ERS, SIMS, eSteward, SIMBA (future release), NIFA Portal (including REEport), National Information Management Support System (NIMSS), and others as created, released, and/or adopted. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Applicants should possess integrity and discretion required in safeguarding confidential data; exceptional communication skills, including effective personal and interpersonal skills; excellent organizational and prioritization skills; and proven strong administrative, organizational, prioritization and time management skills. Experience with FileMaker Pro and Penn State systems is desired.
