The Penn State Department of Electrical Engineering in the School of Electrical Engineering and Computer Science (EECS), College of Engineering, is seeking an energetic, motivated, and experienced Administrative Support Assistant to join our highly productive team. Electrical Engineering is a large and diverse department with numerous collaborations and partnerships on and off-campus. This position is responsible for assisting and coordinating administrative support for the department head along with the current assistant of the Department Head and performing other essential duties. The role requires an extremely organized individual who displays a high level of team spirit, professionalism and the ability to perform a wide variety of complex administrative functions in a busy team-oriented office environment. Duties include but are not limited to: managing complex calendar appointments and meetings that require coordination with multiple internal/external individuals and groups; working closely with faculty to prepare assigned promotion and tenure dossiers, assisting in the organization of annual faculty evaluation processes, preparing assigned agendas and materials for committees, maintaining accurate files and databases that may include sensitive and highly confidential information; providing back up administrative support for faculty searches and peer faculty teaching reviews; planning and coordinating departmental events; assisting with updating a variety of databases; performing duties related to assigning keys, generating reports in e-steward, monitoring utilization and preparation and distribution of gift letters to department donors; serving as main scheduler and approver in CollegeNet System-providing oversight of EE conference rooms, assisting with oversight to the administrative content on the website and on social media, assisting with travel and processing assigned reimbursements; serving as back up taking meeting minutes as requested; greeting guests of the department and providing general office support and customer service. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Prior experience with Penn State systems and an understanding of information technology systems is preferred. Candidates must demonstrate the following behaviors/skills: professionalism with a high commitment to customer service; interpersonal/communication skills, organizational skills with attention to detail and accuracy; ability to manage and prioritize tasks with minimal direction; and exercise discretion and judgement while managing a high degree of confidential information. Proficiency is required in standard computer applications and programs (e.g. Word, PowerPoint, Excel, Access, Microsoft Outlook, Adobe, Box Zoom, CollegeNet, etc.), email, calendaring and file management. This is a fixed-term appointment funded for one year from date of hire with possibility of re-funding.
