The Office of the President is seeking a friendly, professional and detail-oriented Administrative Assistant for our front office. This position will provide office-wide support for the Office of the President and other departments as needed and will also serve as back-up to the Administrative Assistant 4 working closely with the Executive Assistant to the President. The person in this position will greet and answer questions from guests and visitors, provide information, screen and announce visitors, answer and screen phone calls, provide information and refer when appropriate; receive, process, and maintain confidential and/or sensitive information and materials; respond to internal and external requests, issues, and/or complaints following University policies and procedures; track referrals to ensure the timeliness of a response; responsible for gathering, sorting, and distributing mail as per office mail procedures; maintain conference room calendar and assist in maintaining some administrator’s calendars; maintain inventory and order/purchase office and kitchen supplies. This position is Monday through Friday with work hours of 8:00 a.m.- 5:00 p.m. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. The successful candidate must exhibit a high degree of professionalism and initiative, have exceptional phone and customer service skills. The individual must have excellent written and oral communication skills, a proven track record of exercising discretion, confidentiality, and independent judgment while managing confidential information. Must demonstrate cultural competency and will be working with a broad array of diverse constituencies. Working knowledge of MS Office 365 and Outlook is required.
