The College Relations and Communications department is searching for an Administrative Support Assistant who will be responsible for support of the Office of Conferences and Short Courses in the College of Agricultural Sciences. The Assistant will: Serve as first point of contact for the office, with primary responsibility for all program registration processing; Provide support for various meetings, workshops, events, and conferences, including handling refunds, cancellations, and collection of money; Support the financial office as needed, prepare cash reports, process travel in ERS, reconcile transactions in IBIS, prepare and send invoices; Maintain and update mailing lists and directories; Create and maintain office files and/or Excel spreadsheets, verify and enter data; Assist with travel and lodging arrangements; Serve as the main receptionist; Provide excellent customer service; Schedule appointments and maintain calendars; Handle incoming and outgoing mail, courier/walk mail on campus; Schedule conference rooms and equipment, maintain inventory and order office supplies; Type, edit, file, copy and distribute correspondence, reports, forms, etc.; Provide onsite event support as needed; Provide backup support as needed to all members of staff. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Experience in IBIS, ERS, and Cvent is preferred. Candidate must have excellent working knowledge of Microsoft Office and the ability to learn new software applications. Excellent interpersonal, organizational and communication (oral and written) skills are essential. Must be able to assist multiple staff members and manage multiple priorities to meet program deadlines. Attention to detail and good judgment are vital requirements, as well as the ability to work within a team environment. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
