Description

The McCourtney Institute for Democracy is seeking an Administrative Support Coordinator. Working closely with Institute Directors and the Communications Specialist, this person will assist with all operational, budgetary and administrative duties associated with the Institute. These duties include but are not limited to: managing operational and administrative processes; monitoring and maintaining the Institute’s internal budget(s) to include stewardship of endowment accounts, tracking expenditures against charges in IBIS, as well as processing requests for various financial transactions such as travel reimbursements, group meals, honorarium payments and reconciliation of purchasing card charges; providing detailed ongoing budget reports and forecasting balances to plan for expenditures; compiling detailed information for annual budget reports; arranging meetings, visits and events (including conferences, speaker series, the Nevins Democracy Leaders program, and organizing the Institute’s annual event in Washington, DC) and when appropriate, coordinating with relevant departments including Alumni Relations; hiring part-time hourly research employees via Workday; editing, proof-reading, and producing correspondence and mailings; arranging and preparing for weekly staff meetings; communicating with and assisting undergraduate students in regard to fellowships/internships; submitting work orders for facilities maintenance requests; maintaining Institute records and files; responding to routine and unscheduled requests; and other duties as needed. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Bachelor’s Degree preferred. Familiarity with IBIS and College Net preferred but not required. Excellent written and verbal communication skills; excellent organizational skills with demonstrated experience in event management; attention to detail and time-management skills; excellent computer skills including strong familiarity with MS Office Suite. Candidates with financial/budgeting experience are strongly encouraged to apply. This is a fixed-term appointment funded for one year from date of hire with possibility of re-funding.
