Description

The Department of Biology is seeking an Administrative Support Assistant to support their departmental office. The successful candidate will be expected be responsible for coordinating departmental seminars; organize meetings; act as the alternate access coordinator in the absence of the Facilities Manager, maintain related databases, forms and key stock; perform domestic and international mailings including overnight requests; bulk copying of course materials, specialty packets and quizzes/tests when requested by faculty; coordinate compilation and distribution of Faculty Activity Reports; assist finance office with scanning of forms; assist with organization of the annual ethics workshop; maintain directories for office and on the Biology website; United Way committee member; greet incoming guests (students, faculty, and visitors) and assist in problem solving, answer questions, provide information and follow up as necessary; answer main departmental phone line and provide assistance or direct calls as needed; maintain general neatness of main departmental waiting area; and other special projects as the need arises. Candidate should possess strong investigative and problem solving skills, with the ability to improve upon existing processes and develop new duties and business processes. Excellent communication, organization, and customer service skills, along with the ability to work independently and in a team environment are required. Proficiency in Microsoft Office suite, including Access, is a must. Must be able to handle multiple priorities and meet overlapping deadlines. The successful candidate will foster a positive, professional, and efficient work style and provide any support as needed to ensure smooth workflow in the Department. They will be able to demonstrate initiative, collegiality, accuracy, and promote a culture that is conducive to effective relationships among diverse team members. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. The successful candidate must be able to communicate clearly and incorporate new facts and ideas into group processes and apply creative thinking to develop new solutions.
