The College of Engineering Associate Dean’s Office for Education invites applications for an administrative support assistant to provide a wide variety of functions and support at various levels to the associate dean, administrative coordinator, and support staff. This individual will send scholarship notifications and requests for thank you letters to recipients, track thank you letters received, and provide follow-up reminders; record all transactions in eSteward; and provide stewardship to donors. The successful candidate will have experience with data records using iTwo to gather, compile data, and create reports for prospective student recruitment; create data queries requested by associate dean for annual reporting purposes; update work unit databases and files; assist data records specialist in resolving problems; and provide back-up and act as liaison on behalf of the data records specialist. Other duties include arranging travel for the associate dean and completing travel reimbursement in ERS; ordering group meals; setting up Zoom options and reserving meeting locations. This position will assist with undergraduate events, e.g., Commencement, Spend a Summer Day, Scholars Day, Parents and Families Weekend, and Accreditation Board for Engineering Technology (ABET) visits. There is also limited course management that may include approving and forwarding course forms, adding courses, reserving classrooms, adding students to controlled dean’s office courses, and scheduling online SRTEs. This individual will greet visitors and screen and direct telephone communications by providing assistance or referring as appropriate; and order supplies as needed. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Associate’s degree preferred. Proficiency in Access, Excel, iTwo, eSteward, LionPATH, ERS, eBuy, and CollegeNET 25Live, and MS Office 365 are preferred. Candidate must be detail oriented, have excellent communication, interpersonal, and organizational skills, with the ability to communicate clearly and accurately to a diverse, multi-level audience. Also requires the ability to manage competing priorities in a fast-paced and fluid environment, willingness to enhance job performance skill sets, and the ability to work independently with minimal supervision, support team decisions, and follow through with team responsibilities. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
