Description

The World in Conversation Center for Public Diplomacy, an undergraduate Center of the College of the Liberal Arts (WinC), is looking for a Coordinator with exceptional organizational and time management skills to join the operations team. They will oversee the coordination of all dialogue program operations for over 3,000 students per semester across WinC program initiatives. The Coordinator will develop an expert knowledge of the WinC registration web application. Other administrative duties include correspondence with student stakeholders, detailed document processing, data entry, summarizing and tracking of daily program operations, preparation of weekly presentations to facilitation team and various planning team, records retention for wage staff and other duties as assigned. This position will work under the direction of the Operations Manager and Assistant Director. They will also coordinate facilities requests for the area, serve as liaison with various College and University offices, and work with the leadership to plan and oversee various events. In addition to these general administrative duties, the Coordinator will oversee work in three specific areas: They will oversee the scheduling process for student facilitators with a diverse set of needs. This will mean collaborating with specified student staff and senior staff members to maintain this workflow, academic integrity and clear communication across units. The Coordinator will oversee the WinC registration application. This will include co-supervising the student intern staff members that are responsible for coordinating each aspect of the complex schedule, assessing daily metrics and providing data to senior leadership that help determine progress of semester goals. The Coordinator will manage the WinC office. This will include: maintain supplies, help lead workplace norms for a widely diverse staff, and maintain and create tools that enhance the efficacy of program coordination processes. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. The Coordinator must have advanced proficiency skills with Google Suite and Microsoft Office and possess intermediate proficiency in Qualtrics. Experience in IBIS, LionPATH, ERS, CSRS, CRCS, and eSteward are preferred, but are not essential. The successful candidate will have excellent communication and time management skills, and be highly process oriented. The candidate must demonstrate the ability to work thoughtfully with confidential and sensitive activities both with the internal staff and with university wide stakeholders. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
