Description

The College of Engineering is seeking a Financial Assistant who will serve as the main point of contact and approver of financial documents for the Dean's Office. This position will support the Dean's executive staff as well as the Directors of Marketing and Communications, Information Technology, Facilities, Research, Industry Relations, and Human Resources with initiating and processing financial transactions and associated documentation for general office operations and assist with preparations for the new SIMBA financial system. The Financial Assistant will be responsible for the financial support of assigned budgets to include calculating and posting financial data across various budgets, funds and cost centers; initiate and/or process financial transactions such as special requests for checks, departmental journal vouchers, interdepartmental charges; reconcile purchasing card receipts/transactions; enter purchase requisitions, approving invoices for payments; provide vendor relations support for Dean's Office purchases; work closely with the Dean's Executive Assistant and Dean's Office staff to monitor budgets to ensure sufficient budget and funding; and, recommend possible budget realignments when needed. Closely monitor and resolve all charges when not assigned to an appropriate cost center. Process travel and group meal reports in the Employee Reimbursement System for assigned personnel in the Dean's Office. Review and reconcile all purchasing card transactions for assigned budgets; review all transactions for accuracy and ensure compliance with University, College, and Department policies and procedures; provide a variety of financial reports using FIT and iTwo. Collaborate with Development Office staff to reconcile gifts in eSteward and CRFN in IBIS. Responsible for the procurement of office supplies, equipment, and research supplies in eBuy. Typically requires a High School diploma or higher plus five years of related experience, or an equivalent combination of education and experience. Knowledge of IBIS, ERS, eBuy, and University policies and procedures is preferred. The position requires integrity, professionalism, and exceptional organizational and customer service skills. Must have the ability to work independently and flourish in a team environment. Must possess excellent verbal and written communication skills and critical thinking skills. The candidate must demonstrate a genuine appreciation for working with diverse audiences and must be able to act independently as well as a member of the Dean’s Office.
