Administrative Support Assistant (Special Events Coordinator)

Support the Donor Relations and Special Events team who steward all University donors with special attention given to the University’s highest-level donors. Responsible for providing support to the Special Events team. Duties include data entry and working with databases, preparation of materials for events, attending and assisting with events, composing, editing and merging of, reports, lists, correspondence and invitations, processing various forms, submitting work order and transportation requests, scheduling and making travel arrangements, and providing general office support. Job will include some evenings and weekends. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. Experience with Cvent or an on-line registration tool, Advance, Lotus Notes and Business Information Systems (IBIS) Mainframe System, or IBIS/Simba is helpful. Essential requirements: excellent interpersonal and organizational skills, attention to detail, a team player, a self-motivator and the ability to multitask; coordinating several projects simultaneously while prioritizing appropriately. Strong proofreading skills and excellent telephone skills are a must. Must be comfortable working in a fast-paced, high stress environment. Requires strong proficiency with MS Office 2007 suite including Word, Excel, Access, and Outlook. The successful candidate must possess exemplary interpersonal skills and demonstrate a genuine appreciation in working with diverse audiences.
