Description

The Penn State Millennium Scholars Program seeks an innovative, energetic professional to fill the position of Administrative Support Coordinator 4. The Administrative Support Coordinator will provide direct budgeting and administrative support for the Director and the MSP team. This position is responsible for all administrative duties, including planning, coordinating, collaborating and budgeting for annual events and ongoing activities throughout the year. The goal of the MSP team is to cultivate a group of undergraduate scholars who are highly motivated to pursue doctoral degrees in the Science, Technology, Engineering and Math (STEM) fields. Students are provided with academic, professional and peer support over four years which leads to graduate research in STEM professions. Budgeting and financial management is a large part of this position including: scholarships, travel, office expenses, and program support funding from multiple sources. These sources would include federal grants, private foundations, corporate and private donors, endowments, and general funds, each of which have varied protocols for receiving, managing and reporting. This position acts as initial approver on financial documents in the ERS system and applicant should demonstrate an excellent understanding of the ERS and IBIS systems, with ability to provide budgeting reports through the FIT system (or willingness to learn FIT). Works with LionPath, Starfish, and the Microsoft Office Suite (Word, Excel, PowerPoint). This leader coordinates activities involving partnerships with internal and external stakeholders which include five Penn State STEM colleges (Engineering, Agricultural Sciences, the Eberly College of Science, Information Sciences and Technology, and Earth and Mineral Science), residence life, financial aid, Schreyer Honors College, other partner universities, corporate and private donors, parents, and alumni. An excellent knowledge of web and social media platforms is preferred. Other responsibilities: Maintain calendars, create agendas for special meetings; draft and proof correspondence and other documents; record and distribute minutes; compile and maintain databases, files, and records; generate reports; schedule facilities and class rooms. Assist with planning and logistics for several events that take place throughout the academic year including: weekly seminars, enrichment activities, the 6-week summer bridge, interview weekend (for about 300 students and family members), and other annual MSP events. Demonstrated appreciation of working with diverse populations, students, and PSU families is essential, as well as a basic understanding of the importance of educational equity. The successful applicant should be ready to work in a fast-paced, student-centered environment. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
