The Financial Office of the Smeal College of Business is seeking a Financial Assistant who will be the main contact and approver of financial documents for a select number of departments within the College. The office is team driven, and we seek individuals who are eager to make a difference. Specific duties include performing a detailed review, interpret and approve assigned departments financial forms (SRFCs, IDCCs, JVDPs, Standing Orders, Purchase Orders and direct bills) to ensure compliance with University policies, and maintain accounting procedures. Approve ERS reports and eBuy orders based on limited authority granted by the Financial Manager. Review and audit purchasing card transactions, perform reconciliation of auto-posted transactions, troubleshoot issues for departmental reconcilers and cardholders. Assist staff in supported units with inquiries; provide assistance in preparing, submitting and/or correcting financial documents; resolve issues and utilize a team approach in solving complex situations; assist with the annual audit process. The position will also have responsibilities in departmental communications as well as maintenance of Financial Office intranet content. Provide trainings for assigned departments including but not limited to ERS and purchasing card use and reconciliation. Acts as backup for Access Security Representative (ASR) duties in assignment of system access and updating/creating approval paths. Other duties as assigned. The core hours for the position will be 8:00 a.m. - 5:00 p.m. with accommodations for occasional changes based on work/life balance and time needed out of the office. Typically requires a High School diploma or higher plus five years of related experience, or an equivalent combination of education and experience. Knowledge of IBIS, ERS, eBuy, and University policies and procedures is helpful. Experience with use of Excel and business intelligence software, such as the University application Institutional Insights (iTwo), is a plus. The position requires integrity, professionalism, and exceptional organizational and customer service skills. Must have the ability to work independently and flourish in a team environment. Must possess excellent verbal and written communication skills, critical thinking skills, and work effectively with diverse groups and populations.
