Description

The Department of Electrical Engineering is seeking a highly motivated, detail oriented Administrative Assistant (30 hours per week, consisting of 6 hours per day, 5 days per week) to provide support within our amazing team to work with faculty, staff, post-docs, researchers, students, prospective students and visitors. Interaction may be face-to-face, via email or phone. Duties include scheduling using 25Live (CollegeNET) and Microsoft Outlook 365 Calendar, purchasing, managing p-card purchases, collect receipts and completing paperwork for signature, make travel arrangements and compilation of receipts for submission to assigned Center Staff to process reimbursement, collect and approve invoices for payments, organize information for grad research assistantships to submit to assigned staff, handle requests associated with CEARL charge out rate, create and review reports and coordinate corrections/changes as needed, provide back-up assistance with data entry in the databases, copying, scanning, filing, creating files, sending emails, shredding, run errands, assisting overall team goals to provide support in order to meet deadlines. Assist with other requests as needed. Must be able to work well in a team environment. This job will be filled as a level 1, or level 2, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher, or an equivalent combination of education and experience for a level 1. Additional experience and/or education and competencies are required for higher level jobs. Familiarity with Penn State systems such as CollegeNET and ERS and Microsoft Office 365 are desirable. This is a fixed-term appointment funded for one year from date of hire. This is a 75% full-time equivalency (FTE) job. Will work 30 hours per week.
