Penn State Intercollegiate Athletics is seeking a full-time Administrative Support Coordinator for Pegula Ice Arena. This position reports to the Operations Manager and is responsible for: providing direct oversight and supervision for the Pegula Front of House building operations, as well as the part-time team members of Pegula Ice Arena, oversight of the part-time Operations Supervisors, coordinating the team members’ daily duties and responsibilities, creating team member work schedules, implementing and enforcing policies and procedures, and promoting the safety of team members and guests, and interacting with our guests to address any issues or concerns they may have. The candidate will coordinate and oversee birthday parties, events and rentals in the facility, conduct tours for VIP guests, manage the team member recognition program, and organize and execute team member appreciation events. This position serves as the building liaison to Athletics and Penn State HR, assisting with hiring, onboarding, coordinating and facilitating the part-time team member training program. They will be responsible for scheduling and conducting mid-year check ins and performance reviews for the part-time team members. The candidate will also assist in managing wage payroll and front of house budgets, as well as performing arena administrative duties. In addition, the candidate will provide administrative support to the Women’s Hockey Coaches and Full Time Arena Staff. They will be required to follow Penn State policies and procedures for purchasing, reporting and financial systems, as well as to personally use these systems. The candidate will be the Women’s Ice Hockey game day front of house lead, managing the arena game day operations and team members, as well as other duties as assigned. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. It is desired that the candidate have previous supervisory experience. Proficiency in Microsoft Office including Word and Excel is required. The ideal candidate will possess a commitment to providing exceptional customer service in a fast-paced, changing work environment. They must be dynamic, have exceptional interpersonal, organizational, written and oral communication skills, the ability to multitask, to prioritize and appropriately meet required deadlines. The selected candidate will be required to work flexible hours to meet the various demands of the operation, including evenings, nights, weekends and holidays. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
