Description

The Penn State Department of Kinesiology is seeking an energetic, motivated, and experienced Administrative Support Assistant to join our highly productive team. Kinesiology is a large and diverse department with numerous collaborations and partnerships on and off-campus. This position is responsible for providing administrative support for the department head and performing other essential duties. The role requires an extremely organized individual who displays a high level of professionalism and the ability to perform a wide variety of complex administrative functions in a busy team-oriented office environment. Duties include but are not limited to: managing complex calendar appointments and meetings that require coordination with multiple internal/external individuals and groups; working closely with faculty to prepare promotion and tenure dossiers, organizing annual faculty evaluation processes, preparing agendas and materials for committees, maintaining accurate files and databases that may include sensitive and highly confidential information; providing administrative support for faculty searches and peer faculty teaching reviews; planning and coordinating departmental events; assisting with updates to the administrative content on the website and on social media, coordinating travel and process reimbursements; taking meeting minutes as requested; greeting guests of the department and providing general office support and customer service. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Prior experience with Penn State systems and an understanding of information technology systems is preferred. Candidates must demonstrate the following behaviors/skills: professionalism with a high commitment to customer service; interpersonal/communication skills, organizational skills with attention to detail and accuracy; ability to manage and prioritize tasks with minimal direction; and exercise discretion and judgement while managing a high degree of confidential information. Proficiency is required in standard computer applications and programs (e.g. Word, PowerPoint, Excel, Outlook, Adobe, Box Zoom, etc.), email, calendaring and file management. This is a fixed-term appointment funded for one year from date of hire with an excellent possibility of re-funding.
