The Administrative Assistant position in the Cooperative Extension Office involves administrative work performing everyday office procedures to assure that the office functions in an organized and efficient manner. This position includes general office duties as well as administrative and some accounting responsibilities. An expectation of working 18-20 hours per week with some seasonal variation. Starting pay rate is $10.00 per hour. Experience/knowledge of administrative and clerical procedures is needed. Computer skills are necessary to perform duties. Experience/knowledge of Microsoft Office programs, and willingness to learn specialized programs is expected. Considerable knowledge of office equipment is needed. Skills such as typing, filing, meeting the public, time management are necessary, as well as phone skills and ability to answer general questions. To perform this job successfully, an individual must possess the ability to thoroughly grasp principles and practices of administrative duties that pertain to this particular office and work cooperatively with the Business Operations Manager (BOM) and other Penn State educators. Skills in time management, writing, critical thinking, active learning of new information, and communication are also necessary to perform this job successfully. Position requires being pleasant with others on the job and displaying a good-natured, cooperative attitude. Position requires attention to detail and thoroughness in completing work tasks. Position requires developing initiative in doing tasks, guiding oneself with limited supervision, and depending on oneself to get things done. Duties and responsibilities include: greeting customers with a smile and positive welcome and interaction; answering the phone with a positive attitude and directing inquiries as needed; update and maintain files as needed; determine the needs and prepare requisitions covering the supply needs of the office and all other matters relating to the purchasing process of supplies (this responsibility would include ordering publications from Penn State and other sources); prepare reports and correspondence as requested by county/Penn State office staff; assist BOM/CRM and/or educators in a variety of administrative detail matters; prepare invoices, agendas, minutes, and correspondence as needed; clerical responsibilities for agriculture, family living and extension administration programs, with primary emphasis in supporting the 4-H educator and the 4-H program; scheduling appointments, meetings, programs and assist in coordination of 4-H volunteers; help with on-boarding of new 4-H leaders and provide support to existing 4-H leaders as needed; record-keeping for program registrations is required, including 4-H online enrollment system. If not proficient in web page design, must be willing to acquire training to oversee webpage design and management; general secretarial duties as needed; receive and distribute mail and e-mail for staff; maintain mailing lists and databases including Salesforce; prepare newsletters and program announcements for distribution. Employee should be able to concentrate with numerous distractions.
