Description

The Penn State Alumni Association is seeking a highly organized, self-motivated, adaptable, curious, and detail-oriented Administrative Support Assistant to join its Engagement team. The Engagement team consists of the following areas: Alumni Events and Travel, Student and Young Alumni, Alumni Career Services, and Volunteer Services. The position offers an opportunity to join an energetic, collaborative group that is responsible for engagement activities for the largest dues-paying alumni association of its kind, serving 175,000 members and nearly 700,000 alumni worldwide. The successful candidate will have strong written and verbal communication skills; an ability to manage calendars and handle phone and email inquiries; provide excellent customer service to members, alumni, volunteers, and others; coordinate mailings; maintain work samples and other files; prepare agendas and coordinate meeting notes; verify and process invoices, travel expenses, etc.; create, maintain, and monitor budget reports and expenditure tracking spreadsheets; and provide general administrative support. The successful candidate may assist with off-premise events and programs; process event registrations, nametags, and payments; create special reports; collaborate and work with internal and external vendors; submit and track purchase orders; create and maintain databases; work with key volunteer leaders; and participate in cross-team, as well as cross-campus, complex collaborations. Serve as resource to team members on a variety of subjects including office equipment, software application usage, and information processing procedures. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Competency in working in IBM Notes, BoardEffect, Cvent, and data base programs is strongly preferred. Also, preferred knowledge of and/or experience with Penn State systems (ERS, IBIS, Ebuy, WorkLion, and Advance database). Excellent keyboarding and advanced computer skill in Microsoft Office Suite including Outlook, Word, Excel, PowerPoint. The successful candidate will demonstrate a genuine appreciation in working with diverse audiences. The ability to coordinate multiple projects simultaneously is essential.
