Penn State Veterans Affairs and Services seeks a team-oriented individual with superb customer service skills and attention to detail to provide administrative support and coordination for the Senior Director of Veterans Affairs and Services and to manage day-to-day office operations. The candidate will serve as the first point-of-contact for the office answering telephones, greeting visitors, providing information, and coordinating with other university units and external entities as appropriate. Key duties the candidate will perform are: coordinate and arrange meetings; plan, manage, coordinate, and execute special events, projects, conferences, and other functions; coordinate office travel arrangements and prepare/submit travel reimbursements in ERS; monitor and maintain budgets, track expenditures, process budget revisions, and assist with budget preparation and projections; manage gift, scholarship, and Purchase Card accounts; develop, design, and produce publications in accordance with established University policies/regulations; edit various reports, publications, speeches, and articles; design and maintain web pages as well as manage office social media outlets (Facebook, Twitter, Instagram etc.); and assist with other duties as assigned. Work will include supporting military affiliated students and veterans requiring the candidate to have a passion to serve this community. The normal hours of operation for this position will be Monday through Friday, 8:00 a.m. - 5:00 p.m. with occasional evening or weekend hours to support special events or functions. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Strong attention to detail and communication skills are required as well as a working knowledge of University business systems (IBIS, FIT, ERS), LionPATH, fleet transportation system, and Dropbox with proficiency in MS Office including Word, Excel, Outlook, and PowerPoint. Preference will be given to individuals that have experience working with or knowledge of military culture, military families, and/or military background.
