Description

The Penn State Scranton Admissions Office is seeking a professional to fill the role of Administrative Support Assistant 3. The Administrative Assistant will be responsible for supporting the day-to-day functions of the office of admissions, financial aid and its staff. The Administrative Assistant will also serve as the first point of contact for prospective and admitted students calling, e-mailing, or visiting the Penn State Scranton Admissions office. Responsibilities will include: communicating with prospective and admitted students to arrange tours and visits to the campus, responding to general admissions inquiries by phone and email; maintaining calendars and scheduling meetings and appointments for enrollment specialists and financial aid coordinator, maintaining accurate applicant records; managing transcripts and materials shipping for recruitment travel seasons; budget management, reconciling expenses; managing office supplies and admissions and financial aid materials; maintaining the office space; assisting with travel arrangements, conferences and meetings as necessary, Prepare agenda items for meetings as required; take and transcribe minutes and distribute to appropriate personnel; maintain records of meetings as required, coordinate communication with other departments and personnel, students, educational institutions, vendors, other outside organizations. Maintain and distribute scholarship letters. Supervision of Work Study students assigned to the department. Complete other duties as needed. A demonstrated ability to manage multiple long- and short-term projects in a fast-paced, deadline-driven office is of key importance. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Desired qualities include exceptional organizational skills, ability to multi-task in fast paced environment, excellent verbal and written communication skills, a passion for customer service, keen problem-solving abilities, and a self-starting work ethic. We also seek candidates demonstrating strong emotional intelligence, a team-oriented philosophy, and a desire to work in a collaboratively with the Admissions Team and other campus units. Proficiency with Microsoft Office Suite is required. A familiarity with internet-based searches and communication, social media platforms, and University systems (ISIS/LionPath, Concur, ERS) is strongly preferred.
