Description

Responsible for providing departmental bookkeeping support to the faculty, students, and staff. Prepare, post, and monitor bookkeeping expenditure documents using the IBIS financial system. Responsible for petty cash fund. Coordinate and process travel settlements for faculty, staff, and students. Responsible for the weekly posting/resolution of CRFN screens and all purchasing card charges (reconciler). Advise faculty, staff, and students on purchasing policies. Interact with vendors, University Purchasing Department, Travel Services, and Property Inventory Office. Resolve problems with vendor deliveries and invoices; ensure payment deadlines are met. Prepare student and employee wage appointments, terminations, and work-study appointments. Prepare and process wage payroll using IBIS system. Maintain payroll year-to-date summaries of general funds expenditures using spreadsheet software; verify payroll information. Maintain I-9 expiration spreadsheet for all departmental employees. Order and maintain supplies for stockroom and coffee area. Act as backup to Accounting Clerk. Assist in end of fiscal year close outs. Maintain financial archival files and records. Perform other duties as assigned by supervisor. Hours are 8:00AM – 5:00 PM Monday through Friday. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Experience with IBIS, ERS, EBUY, FIT, Data Warehouse, and Microsoft Office preferred. Requires additional specialized training beyond the high school level or completion of formal high school vocational program or equivalent, plus one year of work-related experience.
