Description

The Institute for CyberScience (ICS) is seeking a Financial Assistant to join our business team. Our financial assistant will: process electronic documents utilizing the Penn State financial system (IBIS); properly track, report, and monitor assigned ICS budgets; reconcile purchasing card transactions and direct bill charges ensuring compliance on all college levels; maintain CRFN screens; submit purchase orders/standing orders/IDCC/JVDP; resolve eBuy orders and other purchases; and provide backup support for other business office staff. In addition, you will: manage the ICS-ACI Client Relationship Database; interface with Penn State faculty university-wide in the creation, dissemination, and billing of ICS-ACI service level agreements (SLA's.), process monthly/quarterly invoicing for all active SLA's using IBIS and iLab and keep accurate records to be used in fiscal year budget projections, provide customer service by advising faculty and staff regarding spending and account balances. Finally, you will assist with procurement and tracking for ICS-ACI systems (including: hardware, software, networking, and storage equipment and maintenance.) Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. IBIS experience preferred. Knowledge of University policies and procedures, and experience with Excel, IBIS, and FIT preferred. Excellent interpersonal and customer service skills essential; requires strict confidentiality and the ability to manage a large volume of time sensitive work. This is a fixed-term appointment funded for one year from date of hire with an excellent possibility of re-funding.
