The Department of Research and Graduate Education in the College of Agricultural Sciences is seeking an Administrative Support Assistant to provide administrative support to the Associate Dean for Research and Graduate Education. Duties include: screen and prioritize all appointment requests for the Associate Dean; plan and arrange calendar; coordinate schedule with internal and external contacts; handle sensitive matters; review, screen, direct, and process calendar and meeting-related correspondence and communications; act on routine requests and refer others; plan, schedule, and coordinate all travel arrangements (airfare, lodging, and vehicle reservations, etc.) for in-country and/or out-of-county travel; prepare itineraries; prepare and process travel expense documents for reimbursement; prepare the Associate Dean for meetings; request information, provide back-up, make necessary arrangements, prepare agendas, plan and coordinate group meetings, and/or compose, compile, and distribute minutes. In a team environment, facilitate and provide administrative support and coordinate activities for the Agricultural Experiment Station and the Federal Excess Personal Property program. Additional duties include: compose, type, edit, and maintain a variety of office correspondence, records, and reports in a timely and accurate manner; facilitate positive communications among various internal and external contacts; and serve as a liaison with the College departments and federal agencies ensuring prompt workflow and exchange of information. This job will be filled as a level 2, or level 3, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience for a level 2. Additional experience and/or education and competencies are required for higher level jobs. Post high school education is preferred. Excellent organizational, communication, and interpersonal skills are required. The ability to coordinate several projects simultaneously is essential. Excellent computer skills are essential including knowledge of Microsoft Office. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
