Description

The Department of Nuclear Engineering seeks a Lead Financial Assistant to provide oversight in managing, monitoring, and processing daily, monthly, and yearly financial transactions for the department. This individual will help facilitate the overall management of general and extramural funds in accordance with established policies and procedures. Gather, compile, and process employee and non-employee travel reimbursements through the Employee Reimbursement System (ERS); assist and resolve department questions in ERS, and verify all related financial/visa documents for domestic and international travel. Process electronic documents utilizing the Penn State financial system (IBIS) to properly track, report, and monitor assigned budgets. Reconcile purchasing card transactions and direct bill charges ensuring compliance on all college levels. Maintain CRFN screens. Responsible for imaging all purchasing card transactions into Docfinity. Process documentation for petty cash reimbursement. Provide support to Financial Office staff as backup. Specific responsibilities include: Provide financial support and guidance to the Department Head, Administrative Support Coordinator, faculty and staff; develop, compile, analyze, and incorporate financial data into a variety of reports on activity and balances; provide guidance to faculty in interpreting sponsor and University guidelines and ensuring guidelines are followed; assist faculty with yearly Work Contracts and Personnel Assignment forms; submit payroll transfers as required; routinely review and recommend continuous quality improvements to processes and procedures. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Experience with initiating the hiring of part-time payroll employees through Worklion is preferred. Accounting experience with grant and contract funding strongly preferred. Experience with the Penn State financial systems, IBIS, eBuy, ERS, FileMaker Pro, FIT, and SIMS is strongly preferred. Excellent oral and written communication skills, sound judgment, problem-solving skills, and solid organizational skills with attention to detail are vital. Proficiency in the use of spreadsheet and database applications in analysis and reporting is required as are effective interpersonal skills. The position requires the ability to collaborate and work in a team environment. A working knowledge of Microsoft Office tools particularly Excel, Word, and Outlook is essential.
