The Administrative Operations Coordinator will serve on the senior staff for the Associate Dean for Undergraduate Studies, with primary responsibility for administrative support activities for the undergraduate studies organization (hereafter "LAUS"). These activities fall into two categories: general administrative functions, such as budgeting and appointment processing; and specific functions related to the work of LAUS. In coordination with the Associate Dean and the other members of the senior staff (hereafter "the leadership"), the Coordinator will establish and communicate internal policies and procedures across the organization, assist with strategic and operational planning, and provide other support as needed. The Coordinator will work with the leadership to develop and manage budgets for each LAUS sub-unit, oversee grant and fund management, forecast budget expenditures, and manage resources for the areas. He or she will be the point of contact for staff searches and processing forms in WorkLion (both Human Resources and financial forms). He or she will also coordinate facilities requests for the area, serve as liaison with various College and University offices, and work with the leadership to plan and oversee various events. In addition to these general administrative duties, the Coordinator will oversee work in three specific areas. First, he or she will oversee the curricular affairs process. This will mean supporting the work of standing college committees devoted to curricular affairs, academic integrity, and undergraduate studies, of any ad hoc structures related to these functions, and of the academic units that devise and deliver our curriculum. Second, the Coordinator will oversee scholarship awarding. This will mean supervising the staff members that specialize in this work and coordinating with the Director of the Office of Diversity and Inclusion. Finally, the Coordinator will manage the office of the Associate Dean. This will mean supervising the Associate Dean's Assistant and ensuring that basic support functions such as calendaring and office coverage are carried out effectively. This position also supervises the staff dedicated to the Paterno Fellows Program. Typically requires an Associate's degree or higher plus five years of related experience, or an equivalent combination of education and experience. Supervisory experience and experience in IBIS, LionPATH, ERS, CSRS, CRCS, and eSteward are preferred, but are not essential. The successful candidate must be process-oriented: he or she must able to manage the processes that support the work of LAUS, to teach others how to manage those processes, and to create clear and reliable processes where they do not currently exist. In addition, the successful candidate will have excellent leadership, communication, and management skills, especially in areas related to confidential and sensitive activities and financial matters. Candidate must also have the ability to work with assigned staff to establish work place norms of excellence, diversity, professionalism, and customer service. The candidate must demonstrate a genuine appreciation for working with diverse audiences and must be able to act independently and to collaborate with other members of a management team. A commitment to developing and maintaining clear processes, and to distributing knowledge about these processes across the organization, is essential.
