The Penn State Alumni Association at University Park seeks an Administrative Support Coordinator (Development and Alumni Relations Assistant) to support development, stewardship, and alumni relations activity in the Association's development office. Reporting to the Director of Alumni Development, this position will play a key role in establishing and managing the office's annual work plan and day-to-day activities in accordance with University policies and procedures. The position will play an active role in supporting and coordinating activities that include: developing and implementing donor stewardship approaches; tracking donors and prospects; support our annual campaign appeals and crowdfunding efforts, maintaining and updating records and files; preparing and processing financial forms, incoming gifts, and expenditure reports; responding to routine requests; and assisting with planning and implementing donor events and alumni events. In addition, this position will be making travel arrangements, attending various meetings, preparing agendas, recording minutes, disseminating information, drafting correspondence, and ensuring the Association keeps donors informed about their endowments. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Additional transferable professional experience in a team setting preferred. Position requires learning a number of University systems, including eDDs, eSteward, ERS, and Lotus Notes and interfacing with a number of central support offices. Very occasional overnight travel with the Director, as well as attendance at weekend and evening events (such as tailgates and dinners) may be required. Candidates must have a strong customer service orientation, and be well-organized, flexible, creative, and dedicated. In addition, sound judgment, excellent interpersonal skills, and attention to detail are essential. Successful candidates will have the ability to set priorities and achieve desired results without constant supervision. The successful candidate must possess exemplary interpersonal skills and demonstrate a genuine appreciation in working with diverse audiences. This is a fixed-term position funded for one year from date of hire, with excellent possibility of re-funding.
