Reporting to the Director of Alumni Relations and Events, the Alumni Relations Coordinator has primary responsibility to provide assistance in the development, implementation, and coordination of donor and alumni relations efforts in the College of Engineering. This may include working as a liaison to both internal and external audiences, working closely with donors, alumni volunteers, and College of Engineering faculty and staff members. The successful candidate will assist and staff the various activities in support of these efforts; participate in the monitoring and analysis of programs; and identify program needs and areas for improvement. In consultation with the development team, the Alumni Relations Coordinator will record and track alumni relations activity in the AWA database. This person will serve as the first point of contact via phone and email for alumni relations related inquiries. This may include working with department staff, the Dean's Office, central development and the Penn State Alumni Association to provide information for inquiries. This position will draft for approval and conduct mail merge letters for the Industrial and Professional Advisory Council (IPAC) process for the Dean's Office. This includes new term letters, end of term letters and continuing term letters for all departments within the college. The Alumni Relations Coordinator will track and maintain term dates, records and files, and record all communications in AWA as a report of contact. The successful candidate will provide support with scheduling and correspondence. Under the direction of the Director of Alumni Relations and Events, assists in planning signature College donor and alumni relations programs including the Outstanding Engineering Alumni Awards Program, PSEAS Faculty and Staff Awards Program, Alumni Reunion Weekend Events and the College of Engineering Tailgate. This will include managing event registrations online and via telephone, creating nametags, ordering catering, scheduling photography and working with marketing and communications on publicizing events. Other duties include assisting in the logistics for the meetings of the College of Engineering alumni board, web site content updates, and AWA coding. Typically requires a Bachelor's degree or higher, or an equivalent combination of education and experience. The successful candidate should have the ability to work well both independently and as a part of a team, show excellent judgement, proofreading and interpersonal skills. Special consideration given to candidates with working knowledge of Penn State Development and Alumni Relations software systems: eSteward, AWA/Advance, and Lotus Notes. Must be proficient in MS Office Suite. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
