The Office of Research and Outreach at Penn State Harrisburg is seeking an Administrative Support Assistant 3. This position provides administrative support to the Associate Dean of Research and Outreach and two Proposal and Award staff to assist with managing schedules and the financial systems required of the office. The responsibilities include, but are not limited to: setting up meetings, securing space, ordering catering (as needed), and composing and distributing posters and programs for the Associate Dean and the staff in the office; interfacing with the administrators of the 5 academic schools on campus as well as other offices for a variety of activities of the office; managing the travel and financial transactions of the office; gathering information for the monthly research newsletters and editing the final layout in collaboration with the schools and the Office of Marketing and Communication; and developing/maintaining positive relationships with faculty, students and staff on campus as well as any external visitors. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Associate’s degree preferred. A high level of confidentiality, the ability to work in a team environment, and a genuine appreciation of working with diverse audiences are required. An understanding of the appropriate Penn State University policies related to expenses, human resources and communications is desired. Knowledge and proficiency with all frequently used software (Microsoft PowerPoint, Excel and Word) and financial systems of Penn State University (IBIS and FIT) are preferred to perform the editorial and budgetary tasks for the office. The successful candidate must possess excellent written, oral and interpersonal communication skills, have a high degree of attention to detail and be highly motivated in working independently and effectively to draft/edit various correspondences and create posters/programs on behalf of the Office of Research and Outreach.
