Serve as an Administrative Support Coordinator for the Materials Research Institute (MRI). Primary role is to provide administrative support to an MRI core facility, the Materials Characterization Lab (MCL), its director, its technical staff and to MCL’s users community and to assist in overseeing daily operations. Other responsibilities include coordinating technical workshops with the director and/or technical staff which entails, monitoring expenses, coordinating with outside vendors to implement their sponsorship, manage and track registrations for all the above. Coordinate vendor service, billing and ERS reporting for weekly Millennium Café event and maintain budget expenditures. Supervise MCL’s part-time administrative position and approve their work. Coordinate business functions deemed appropriate by director, e.g. preparation of weekly staff meeting agenda, coordination of service contracts purchases with external vendors. A strong customer service ethic is required, as the successful candidate will deal with a wide variety of users from all over the University and from external parties. Responsibilities will include basic office duties, scheduling meetings, maintaining many calendars, organizing and planning workshops, arranging visitor itineraries, making travel arrangements, processing ERS reports for travel and for group meal reimbursements, ordering supplies, making PowerPoint slides, assembling meeting packets, entering data, providing information and referring inquiries for facility users, and other duties as required. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. This job requires good organizational, multi-tasking skills, communication (written and verbal) and customer service skills. Candidate must be able to work independently to meet deadlines and should be proficient in Microsoft Office 365 (particularly Word and Excel). This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
