Penn State New Kensington’s Office of Admissions and Student Aid seeking an Administrative Support Assistant 2 to provide lead office support to the unit. The Administrative Support Assistant will be an important part of this team and support the joint and individual efforts of the office. The successful candidate will use technology extensively to create prospective student records; respond to student enrollment related information requests; prepare and mail scholarship awards; scan and index enrollment related documents; retrieve reports; schedule travel; assist in the completion of travel and event reports; and process budget transactions. Additional responsibilities include maintaining publication and supply inventory; interacting with supply vendors; coordinating large mailings; assisting in all aspects of special events, travel, and meeting planning; handling sensitive and confidential documents; assisting with classroom presentations and workshops; and coordinating activities for work study students assigned to the office. Excellent communication and interpersonal skills and consummate professionalism are required in order to represent the office and the campus to the public; this individual will welcome visitors, respond to email communications, and answer office phone lines to provide accurate information to callers and make appropriate referrals to other offices on campus, or within the university. Participation in campus enrollment activities, including periodic weekend and evening events, is required. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Associate's degree or higher preferred. Experience working in an education setting is desirable, with experience in admissions, student aid, records or communication offices a plus. Proficiency in Microsoft Office products (Word, Access, Excel, PowerPoint, and Publisher) is required. Experience with computer information systems such as mainframe budget systems, PeopleSoft Campus Solutions, and Customer Relationship Management (CRM) software is preferred. The successful candidate will have a strong commitment to working with a diverse audience. The individual must be organized and detail-oriented, demonstrate initiative, able to prioritize work, handle multiple projects concurrently, focus in a busy (sometimes distracting) environment, and enjoy working in and contributing to a highly collaborative, creative, and fun-loving team environment.
