Description

Penn State Harrisburg is seeking an a highly organized, self-motivated, detail-oriented Administrative Support Assistant to assist the Director of International Programs, External Relations and Special Projects. The individual will support all aspects of international programming, including study tours, study abroad and international visitors on institutional visits. This includes working with faculty, students, travel agencies, the Office of Global Programs, budgeting, and all the paperwork needed for the university are all part of the support involved. The individual will serve as primary support for external relations work and the College’s Board of Advisors and Kulkarni Theatre. This requires calendar planning, communications, meeting minutes, coordinating documents for record keeping, and scheduling conference calls (phone and video), budgeting and all administrative support. Overall logistics for the office are also part of the position. Managing supplies, managing calendars, meetings and setups. Developing simple marketing materials for the online calendar and bulletin boards. Creating and managing doodle polls/surveys as needed. This position serves as a focal point for the office. Assisting to prepare reports is imperative, keeping website information updated, maintain databases as needed. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Associate’s degree preferred. The candidate must be able to work professionally, politely and manage external visitors. Quick responsiveness is a must. Effectively writing for business correspondence is also important. The candidate must have a working knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint). Experience with Workday, LionPATH, IBIS, iTwo and 25Live preferred. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
