The Office of the Vice Provost for Graduate Education and Dean of the Graduate School (OVPD) seeks an experienced operational manager to serve as Executive Director of Business and Administration (Ex. Director) to guide the administrative leadership and staff in the Graduate School in support of the unit’s strategic plan. The position will coordinate with and may oversee multiple administrative areas and staff including, Human Resources, Space/Facilities, Safety, and others. This position serves as a strategic partner to the Executive Administration of the Graduate School, is a member of the senior leadership team, and serves on University-level committees on behalf of the Vice Provost/Dean and the Graduate School. The position will oversee the implementation of continuous improvement initiatives with data-driven assessment, while recommending changes in operational procedures based on a broad perspective. Included is the coordination of the Graduate School’s activities on behalf of graduate education at Penn State with other units at the University including Office of the University Registrar, Student Affairs, World Campus, Global Programs, Human Resources and other key offices across the University. Reporting directly to the Vice Provost/Dean, the Ex. Director oversees all administrative operational activities for the OVPD, provides project management, change management and acts as liaison with outside agencies and consortia, proactively responding to issues, including those of a sensitive and/or confidential nature that may include various human resources-related actions, University committee/task force deliberations, and others. The Ex. Director provides input/recommendations on critical operational activities and processes; resolves inquiries; and ensures compliance with University/Graduate Council/Graduate School policies and procedures. The Ex. Director manages all searches for director-level positions reporting directly to the Executive Administration of the Graduate School. The Ex. Director is responsible for coordination and oversight of the unit’s Emergency Preparedness/Business Continuity Planning, oversight of unit-wide records retention, and provides key support for the unit’s Strategic Plan development, reporting, annual updates and response to feedback. The Director will coordinate all facility issues, office moves, furniture acquisitions and renovations for the Graduate School and acts as Environmental Health and Safety Officer and Master Access Coordinator. Demonstrated high quality and thoroughness of work is critical. This job will be filled as a level 3, or level 4, depending upon the successful candidate's competencies, education, and experience. Typically requires a Bachelor's degree or higher plus five years of related experience, or an equivalent combination of education and experience for a level 3. Additional experience and/or education and competencies are required for higher level jobs.
