The Department of Mechanical Engineering is seeking a highly motivated individual to provide administrative support to the Graduate Programs Office in the department. This position will serve as first point of contact for both internal and external customers. This position is responsible for assisting both online and resident graduate students as well as faculty members with complex curriculum/program issues. Responsibilities include: review and process application packets for applicants, certify graduate records, review transcripts and degree audits, resolve problems, and assure degree requirements are met; process graduate student assistantship appointments and fixed term II appointments for summer semester; handle travel arrangements for graduate recruitment and process travel reimbursements in ERS; schedule courses, SRTEs, final and exams; order textbooks for graduate level courses; develop, maintain, update and facilitate various databases for the purpose of data analysis/reporting; provide administrative support for the Associate Department Head for Graduate Programs in preparing correspondence, handling confidential issues, corresponding with students, and assisting with graduate advising; schedule meetings with students, visitors and committees; provide assistance in the planning and execution of events including the New Graduate Student Orientation and Graduate Student Recruiting Event. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Knowledge of University Policies and Procedures related to students and FERPA guidelines is preferred. Proficiency in LionPATH, iTwo, ERS and Workday is preferred. Excellent verbal and written communication skills, attention to detail, and a demonstrated commitment to providing exceptional, proactive customer service is essential. Proficiency in Microsoft Office, as well as the ability to learn new software and technologies is required.
