Administrative Support Assistant

The School of Music would like to hire an Administrative Support Assistant to manage all aspects of the School’s large undergraduate program. Job responsibilities include: Build and maintain an accurate schedule of courses in LionPATH, including the scheduling of space; manage the scholarship awarding process and monitor scholarship eligibility throughout the semester, process course registrations; monitor and waive student account fees as appropriate; prepare final exam schedule, including scheduling of space; schedule credit by exams; manage the drop/add process, including late drop/late add and petitions to the Faculty Senate; manage the SRTE (Student Rating of Teaching and Effectiveness) process to include reporting of scores; monitor grade entry by faculty; review graduation requirements; maintain and update appropriate records; report on all aspects of the undergraduate program to the Director and appropriate faculty; serve as a resource to confirm and clarify the School’s undergraduate degree and minor requirements to faculty, advisors, and students; and provide backup to the main office support staff to include answering phones and directing visitors. This job will be filled as a level 3 or level 4, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience for a level 3. Additional experience and/or education and competencies are required for higher level jobs. Experience working in LionPATH and the Microsoft Office Suite is highly preferred. Familiarity with 25 Live, eSteward, and database management software preferred. The ability to clearly communicate, interpret, and navigate complex policies and procedures is expected. A strong commitment to teamwork is essential. Attention to detail and an understanding of and adherence to confidentiality is critical.
