Responsible for providing support to the Vice President for Government and Community Relations, the Director of State Relations, Advocacy and Communications Manager, and the Executive Assistant, in the Office of Government and Community Relations. Administrative support to a university-affiliated student organization. Process and review various financial and human resources forms. Coordinate hospitality and special events and/or programs; including programs at the State Capitol and off campus. Oversee and ensure that travel arrangements for staff, administrators, and elected officials are met. Collect, organize, prepare and verify information for various publications and reports, including University lobbying expenditures to State and individual legislative offices. Research information, prepare charts and illustrations, compute and tabulate data, and prepare summaries for presentations to various University venues, including Board of Trustees, legislators, and state budget hearings. Manage all office databases, which includes over 2,000 records in Filemaker Pro, oversee unit files, and reports. Compose letters, memos, draft presentations and coordinate work assignments of support employees. Maintain office calendars for Vice President, Director of State Relations, Advocacy and Communications Manager, and Executive Assistant. Compile and prepare background material for meetings; develop agendas and schedules. May interview, train, and direct the work of other support staff, students and wage payroll personnel. Attend general meetings when needed for administrators within the Office of Government and Community Relations. Assist in resolving complex inquiries and ensure compliance with work unit and /or University policies and procedures. Present in a professional manner and maintain confidentiality at all times. Answer phones, direct calls, greet visitors, provide information or refer, maintain inventory of office supplies and equipment, and place orders. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. A working knowledge of University operations and some knowledge regarding PA lobbying regulations is highly desirable. Excellent verbal and written communication and organizational skills are essential. Requires excellent computer skills including IBIS, ERS, Excel, PowerPoint, Outlook, and MS Word.
