The Office of the Director of Student Affairs and Engagement at Penn State Harrisburg is seeking a highly organized candidate for the part-time position as an Administrative Support Assistant. This position will provide administrative and office support of the general, day-to-day administrative, operational and clerical tasks related to the office. Provide a professional, helpful, welcoming atmosphere and a positive attitude for faculty, staff, students, families, callers and visitors to the Office of the Director of Student Affairs and Engagement. Provide coverage for the front desk including answering phones, transferring calls, taking messages; send and receive faxes and e-mails on behalf of the staff. Receive and process department paperwork. Assist with projects as required (i.e. prepare materials for distribution; create spreadsheets, event set-up, etc.) Assist Director of Student Affairs and Engagement by managing calendars/schedules for meetings including but not limited to DSA, AD, Bi-Weekly, and other requests as needed. Create and manage tickler files, agendas and reminders for the Director Student Affairs and Engagement. Track and monitor budgets, gather information and process expenditures for payment, and prepare fiscal reports as needed; may interact with vendors on quotes and invoicing. Assist in arranging thematic programming. Assist with development, design and production of publications. Assist with student-related functions, attend meetings; recbrd, transcribe and distribute meeting minutes; gather and compile reports as needed. Compose written communications and proofread documents for grammar, spelling, punctuation, and basic formatting. Provide service excellence through courteous, informed, accessible and professional engagement. Perform other duties as assigned. Reports to the Director, Student Affairs and Engagement. Requires High School diploma or equivalency plus a minimum of one year closely related experience in an administrative or customer service capacity. The ideal candidate will have a good balance of technical and people skills with the ability to work both independently and as a member of a team. This position must possess the ability to deliver a high level of quality interactive interactions, handle confidential materials appropriately, prioritize effectively, and manage multiple projects simultaneously with a high level of accuracy. The part-time Administrative Support Assistant must possess strong written, verbal, and interpersonal communication skills accompanied by exceptional organizational skills and proficient computer skills, including familiarity with Microsoft Office Suite as well as other computer applications. The part-time Administrative Support Assistant must be able to work well with staff at all levels within a diverse, multi-cultural, collaborative environment.
