The Department of Continuing Education (CE), a cost recovery and revenue-generating unit at Penn State Harrisburg is seeking a Financial Coordinator who will be responsible for the allocation, management, and reporting of all unit financial resources. The Financial Coordinator must be willing to work in a team environment and foster productive working relationships with financial staff in other University units, especially the Bursar and Financial Aid Office and will work closely with the Director of Continuing Education to prepare reports for College financial meetings and presentations. The successful candidate must also manage multiple priorities and a high volume of time sensitive work, and the ability to interact effectively with members of senior management. The candidate must also possess excellent communication skills (both verbally and written), demonstrate a high level of accuracy, discretion and professionalism, the ability to work under pressure, and a commitment to diversity and inclusion. Typical Work Duties: Monitor, interpret and disseminate financial projections as needed; gather, summarize and analyze actual income and expense data to report on status of units’ financial goals; develop complex monthly overall budget reports as needed. Develop budgets for grant proposals in consultation with the Education Program Associates and the Office of Sponsored Programs; establish restricted account for awards; oversee all transactions; monitor to assure compliance with grant requirements and restrictions; resolve post-award issues in consultation with Bursar’s Office and Research Accounting. Oversee accounting functions for all registration payments; coordinate with Bursar’s Office and Financial Aid to resolve student payment issues related to credit, non-credit, and contract training programming. Coordinate all non-student payables and receivables; manage purchase orders, purchasing card transactions, cash deposits, reconciliation of accounts and invoicing; resolve complex discrepancies and vendor issues. Oversee gifts and endowments for administrative area; resolve issues in coordination with Office of Development, Bursar’s Office and Financial Aid. Assist in human resource actions; oversee wage payroll and instructor payroll processing and management; demonstrate ability to determine proper method of payment for part-time workers, speakers and instructors; assure deadlines are met and appropriate forms are used; resolve problems in coordination with Financial Officer and Human Resources. Typically requires an Associate's degree or higher plus four years of related experience, or an equivalent combination of education and experience. Demonstrate advanced Excel skills, ability to use other Microsoft Office apps, and working knowledge of Penn State proprietary systems such as IBIS, LionPath, Workday, DocFinity, FIT, eBuy+, Destiny One, and ERS. The ability to train others in the use of these systems is a plus. Demonstrate advanced knowledge of generally accepted accounting principles and familiarity with Penn State financial procedures and policies as they relate to CE activities. Ability to maintain and properly utilize official departmental charge-out rates. Ability to navigate between several different budget structures and programming procedures on a daily basis. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
