The primary purpose of this position is to support the day-to-day operations of the Student Success Center and the needs of the Student Success Center coordinators. The Student Success Center houses Academic Advising/Division of Undergraduate Studies, Career Services, and the Learning Center. While the three areas are responsible for individual efforts, they also work together on a variety of student programs and services. The Administrative Support Assistant will be an important part of this team and will support the joint and individual efforts of the units within the Student Success Center. The position reports to The Learning Center Coordinator and assists the Student Success Center coordinators and advisers in various capacities. Responsibilities include: Direct calls and inquiries to appropriate staff as they are received within the center; manage center calendar; edit and resolve scheduling conflicts if necessary; purchase office supplies as needed; maintain files as outlined in the Records Management Policy and serve as the records retention liaison; maintain confidential and/or sensitive information and materials; prepare mailing lists for events; submit facility and technology requests for event set-up; schedule testing rooms and space use for internal events/workshops, as well as for other departments or individuals; Compose minutes reflective of staff meeting discussion; complete ERS forms and provide budget updates for individual offices; complete payment process for events in cooperation with the Business and Finance Office and University Park contacts as necessary; assist coordinators in venue reservation, conference planning, and food orders; assist coordinators in preparing correspondence and scheduling meetings; inform staff of upcoming events or meetings; assist with classroom presentations or workshops as needed; support center programs such as New Student Orientation, the Career Fair, and retention efforts; prepare testing rooms for proctored exams and proctor as needed; check students into the center and ensure they have necessary paperwork for their scheduled appointments; retain program and workshop attendance to be used for annual and biannual reporting; assist with work-study development sessions as needed; develop surveys for event registration using Qualtrics and monitor submissions for accurate attendance and collection of information; help students navigate Penn State systems and procedures and other duties as assigned. Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. Additional competencies include: Strong administrative skills; strong customer service and problem solving skills; excellent computer skills—experienced in Microsoft Suite, especially Word and Excel; ability to focus in a busy, sometimes distracting environment; ability to multi-task and prioritize workload; Strong written and verbal communication skills; creativity to develop marketing in various medias; takes the initiative to work independently and as part of a team; experience working with budgets and expense reporting; willingness to complete trainings and tutorials as needed to fulfill job duties and experience with coordination of vendors and assistance planning large events. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
