Campus Recreation is seeking an Administrative Support Assistant. This position provides organizational and administrative support services for Campus Recreation while demonstrating a strong commitment to inclusionary practices which support diversity throughout the University. Works with multiple work units within the Department to establish work processes and procedures consistent with University policies. Responsibilities include, but are not limited to, supporting the Senior Staff Team, office management and customer service. Support of Senior Staff Team includes: calendar management; coordinate travel arrangements; process employee reimbursements; scheduling meetings; gather, assemble and format data to create simple reports; reporting and proof reading. Office management includes: ordering supplies; assist with planning and implementation of events; maintain office equipment; assist with mail distribution; serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures. Customer service includes: back up to the receptionist for the office by being the first point of contact for phone calls and visitors. Will process employee travel and reimbursement requests. Maintains files and databases and may assist with proofreading documents, arranging meetings, coordinating travel and other office support functions. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Knowledge of IBIS, ERS and WorkDay is preferred. Must be proficient in Microsoft Office suite, including Word and Excel. Excellent written and oral communication skills are required. Outstanding interpersonal and organizational skills needed; customer service and attention to detail is critical. Must be self-motivated and able to work independently and as well as in a team environment. Required to take initiative and have flexibility to adapt to shifting workload demands. Normal work hours are Monday through Friday, 8:00 a.m. – 5:00 p.m. with occasional weekends or evenings necessary. Campus Recreation is a department within Student Affairs that provides recreational programs, facilities and services to the campus community through the operation and administration of the new expanded and renovated 200,000 sf Intramural Building, the McCoy Natatorium, the 700-acre Stone Valley Outdoor Recreation Area, Tennis Center, White Building, Adventure Recreation, Aquatics, Club Sports, Fitness and Wellness Programs, and Intramural Sports. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
