Responsible for depositing and preparing ROCRs in IBIS for a large volume of gift checks using remote deposit methods. Download deposit reports, using access and various databases reconcile information between bank deposits, ledger accounts and recorded gift entries in the Alumni/Development database. Provide backup support for various accounting and related office tasks. Prepare, submit, approve and monitor financial documents in IBIS relating to gift transactions. Assist with managing gift information on the Alumni/Development database, including contacting and corresponding with various units to ensure accuracy of deposits and adherence to University financial policies and IRS requirements. Assist with maintenance of unit policies, receive, review, update and maintain biographical and gift information for donors to the University. Respond to requests to assist staff members in other units who have questions regarding policies and procedures for depositing of gift monies in IBIS and appropriate coding of gifts. Assist and train division staff in how to view and interpret gift data within the Alumni/Development database. Initiate and make recommendations to improve procedures and practices of office operations. Participate on various committees related to gift data processes. Due to the high volume of gifts, occasional overtime may be required, most often from December through March. Typically requires an Associate's degree or higher plus one year of related experience, or an equivalent combination of education and experience. Experience with IBIS, AWA, Lotus Notes, MS Office (Word, Excel, Access) and large databases is preferred. Data warehouse experience is highly desirable. Must have excellent interpersonal, organizational and communication (verbal and written) skills, and have demonstrated sound judgment in problem solving. Ability to work independently within a team environment, foster teamwork and cooperatively manage workflows in conjunction with other unit staff. The successful candidate must demonstrate a genuine appreciation for working with diverse audiences.
