The combined administrative unit for the Departments of Communication Arts and Sciences, Philosophy and Applied Linguistics is seeking a motivated and professional Administrative Support Assistant to provide support to its undergraduate programs and to perform various administrative and front office duties. Primary responsibilities including serving as first point of contact for matters associated with 10 undergraduate programs (3 majors, 1 certificate, 6 minors at University Park and World Campus), including student enrollment for controlled courses and independent studies, transfer course evaluations, graduation verification processes, SRTE administration, and assisting students and faculty members with grade changes, administrative course cancellations, and various other administrative tasks. This position works closely with an Academic Adviser to manage degree audit reviews, course substitutions, and more complex student issues. This position also works closely with the Associate Head, Director of Undergraduate Studies, and the Liberal Arts Undergraduate Studies Office to manage the departments’ robust portfolio of course offerings (approximately 250 sections per semester) and curriculum processes, including course proposals and updates. Other responsibilities include data interpretation and reporting and providing secondary support for a parallel undergraduate programs support position, which performs similar duties for another 5 undergraduate programs; and shared receptionist tasks, including answering a multi-line telephone, managing departmental conference room calendars, greeting and assisting walk-in visitors, managing supplies inventory, and sorting incoming and outgoing mail. The working hours are Monday through Friday from 8:00 a.m. to 5:00 p.m. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Experience with LionPATH, iTwo, CollegeNet, and eBuy are strongly preferred. Proficiency with the Microsoft Office Suite (Word and Excel in particular) is required. Excellent and effective communication (written and verbal) and organization skills are critical, as are attention to detail, a strong customer service orientation, and the ability to work both independently and collaboratively. The successful candidate will possess strong critical thinking and problem solving skills, as well as an openness to improving and streamlining existing processes and procedures. This position requires self-direction, initiative, personal accountability, and leadership, and typically works with minimal supervision.
