The Vice President for the Division of Development and Alumni Relations (DDAR) at Penn State is seeking a smart, energetic, and extremely-organized professional to complete complex tasks in a busy team-oriented office environment. Housed in the Office of the Vice President, this individual will coordinate with senior leaders throughout the division to provide administrative support to key division-wide strategic initiatives, including the DDAR Campaign Incentive Program, the DDAR Summer Internship Program, and DDAR’s participation in the Council for the Advancement and Support of Education (CASE) North American Residency program. Additional special projects that support the division's and university's strategic plans will be assigned over time. Specifically with respect to the DDAR incentive plan, this support will include coordination with the Vice President, campus, college and DDAR partners regarding the evaluation and ongoing confirmation of participant eligibility; interpretation of the incentive program plan document and response to questions about the plan; documentation of employee performance objectives; facilitation of award distribution as warranted; and facilitation of updates to the program plan as the program evolves. Additionally, this position will coordinate with the DDAR Director of Talent Management to provide broad support for the DDAR Summer Internship Program, including the design and execution of a robust recruitment effort; coordination with host units to schedule interviews and ensure office space and internship projects are appropriate; assistance in the design and execution of the internship curriculum (including identification and coordination of external speakers); ensuring timely payroll and other HR functions are met; and contributing to the annual evaluation of the program. And, this individual will coordinate with the DDAR Director for Diversity, Equity and Inclusion to facilitate Penn State's participation in the Council for the Advancement and Support of Education (CASE) North America Residency program. S/he will represent Penn State to the program's advisory council; assist in the recruitment, placement, and evaluation of three residents who will join DDAR in summer 2018 for one year engagements; assist residents with on-boarding and transition to the Penn State and State College communities; and evaluate program success and recommend continued participation beyond 2018. This job will be filled as a level 3, or level 4, depending upon the successful candidate's competencies, education, and experience. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience for a level 3. Additional experience and/or education and competencies are required for higher level jobs. Prior experience with Penn State systems is preferred. A Bachelor’s degree or higher is preferred. The ideal candidate must demonstrate initiative and innovation, leadership, interpersonal skills with high commitment to customer service, attention to detail and accuracy, and the ability to manage multiple priorities with minimal direction. The successful candidate must also demonstrate the ability to exercise excellent discretion and judgment while managing confidential information. Expertise in standard office productivity applications and file management is required. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
