The Office of Physical Plant (OPP) is seeking a professional, energetic, and experienced Executive Assistant to provide executive-level administrative support to the Associate Vice-President (AVP) and back-up support to the Assistant Vice-President, OPP Leaders, and others to execute and manage the OPP goals and strategic plan and to support unit operations. The role requires an extremely organized individual who displays a high level of professionalism and the ability to perform a wide variety of complex administrative functions. Flexibility to effectively identify and synthesize executive needs and facilitate work flow between the executive suite and the OPP leadership team in a busy office environment is key to success. The successful candidate will have the education and experience necessary to anticipate and prioritize unit and leadership needs. Planning, developing, and producing professional, accurate, and timely documents, presentations, and communications, to meet personal and unit goals, and OPP and Penn State strategic plans is paramount. This Executive Assistant will manage multiple, high-profile projects and assignments, coordinate high-level, confidential, and sensitive issues, and manage the logistics and scheduling of a fast-paced, high-energy executive and leadership team. Specific responsibilities include (but will not be limited to) managing daily office activities, arranging meetings and overseeing calendars for the AVP of OPP and others as assigned and needed, coordinating complex and conflicting schedules, tracking budgets and executive suite expenses, acting as a liaison with units various internal and external contacts and customers at all levels, arranging and coordinating travel itineraries and reimbursements, managing special events and projects, processing confidential correspondence and reports, and ensuring accurate and timely follow-up to all activities as needed. Typically requires a Bachelor's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Knowledge of University policies and procedures is preferred. Excellent proactive critical thinking and analyzing skills, interpersonal and organizational skills, and attention to detail required. Other required competencies include the ability to multitask priorities, provide exceptional phone and customer service to all, exhibit excellent interpersonal, organizational, and superior oral and error-free written communication skills. Conscientious attention to detail is essential. Proficiency in Microsoft Office required.
