The Evidence-based Prevention and Intervention Support Center (EPISCenter) in the Edna Bennett Pierce Prevention Research Center (PRC) at Penn State University, seeks to fill an Administrative Support Assistant 4 role to provide support to, and be a part of, the team responsible for providing statewide strategic prevention planning and program implementation technical assistance. The EPISCenter is comprised of passionate professionals, functioning at high-levels of productivity in a fast-paced and challenging environment. We are specifically funded to provide support to local communities and service providers and regularly engage with Pennsylvania state and county policymakers. Ideal candidates will understand the importance of prevention for youth and families and have a sense of excitement about connecting science with real world practice to improve lives across Pennsylvania. The job responsibilities for the Administrative Support Assistant involve supporting the wide variety of activities and projects of the EPISCenter's prevention technical assistance team, with an overarching goal of improving the efficiency of prevention team administrative operations. The Administrative Support Assistant will: monitor and maintain the prevention team budget, track expenditures, process budget revisions, and assist with budget preparation and projections. The Administrative Support Assistant will coordinate operations for EPISCenter office and training spaces, including paying expenses, ensuring professional and timely responses to communications received via EPISCenter general phone and email, and maintaining the necessary supplies and equipment to ensure smooth operations at all locations. They will coordinate meeting and travel arrangements, process expense reimbursements, and create and maintain files, databases and reports related to the prevention project. Other tasks will include developing new processes or procedures to support the needs of the prevention team with a specific focus on supporting the development and operations of the newly formed EPISCenter Training Institute. Other operations tasks will include establishing procedures for handling and maintaining customer/grantee/client or staff records, including confidential data and materials; assisting in preparation of communications and training materials, and quarterly website maintenance. Candidates must possess strong problem-solving skills and a solution focused attitude and have demonstrated strong organizational and project management skills. EPISCenter is seeking a self-starter with the ability to work well as a member of the administrative team, and an openness to cross training or back filling as needed. The ability to maintain high-levels of motivation and self-direction in independent work is a must. Typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. An Associate's degree or higher is preferred. Additional requirements include: strong written and verbal communication skills; proficiency in Excel, Word, PowerPoint, and web-conference software (Adobe Connect, Zoom, others), and familiarity with Access. Experience with preparing no-cost-extensions, project modifications, and coordination of state grants in general is also preferred. Candidates possessing pre/post award support skills such as those taught in the Penn State Office for Research Protections ACES program are strongly preferred.
