Description

The Institute for CyberScience (ICS) at Penn State is seeking a smart, energetic, and extremely-organized professional to complete complex tasks in a busy team-oriented office environment. The ICS Coordinator will serve as primary support for the ICS Director. You will also support the Assistant Director, and provide administrative support to the ICS Associate Directors relating to their ICS duties. This person will be an integral contributor to an expert and fast?paced team of specialists supported by an exciting $60 million Penn State investment in cyberscience research, and a vibrant intellectual community of faculty, researchers and students. As our ICS Coordinator you will lead and conduct efforts to: create senior-level correspondence, documents and meeting materials, as well as proof and edit similar materials adhering to the Institute’s high standards; collect data and manage databases for inclusion in ICS research papers; collaborate in drafting documents to track institute achievements and impact; assist in the creation and support of an ICS Dean’s Advisory Council; coordinate with colleges, including managing ICS representation in faculty searches; scribe high level institute meetings to produce follow-up materials, and track action items; manage documentation through collaborative folders; and supervise and/or mentor wage staff and graduate assistants. Finally, you will lead efforts for event planning for high-level Institute conferences, symposiums, workshops, and seminars, and other ICS target events. Duties include working with ICS leadership, staff and affiliate committees to: develop event agendas and timelines; create event budgets; assist in development, management and publication of event materials (print and online); lead event marketing; coordinate speakers; manage event registrations, space, configuration, and/or hotel needs. The ideal candidate must demonstrate initiative and innovation, leadership, interpersonal skills with high commitment to customer service, attention to detail and accuracy, and the ability to manage multiple priorities with minimal direction. The successful candidate must also demonstrate the ability to exercise excellent discretion and judgment while managing confidential information. Expertise in standard office productivity applications and file management is required. Prior experience with Penn State systems, event planning, and an understanding of information technology is preferred. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. A Bachelor’s degree or higher is preferred. This is a fixed-term appointment funded for one year from date of hire with excellent possibility of re-funding.
