The Administrative Support Assistant is the primary point of contact for the Enrollment Management unit which includes answering phones, greeting/referring/assisting visitors, customers, staff, or others, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, managing the admissions and financial aid website, analyzing data including budgetary expenditures and providing general office support. Reporting to the Director of Enrollment Management, the Assistant supports a team of four including a financial aid coordinator and two admissions counselors and may assist other departments further throughout the enrollment cycle. The Assistant will create, send and monitor communications as they relate to admissions (i.e.: decision letters, scholarship letters, and class communications), triage admissions and financial aid inquiries, track applications and student records throughout the enrollment cycle, update data, assist with planning and coordination of moderately complex projects and events, monitor and maintain budget expenditures, prepare spreadsheets, update the admissions and financial aid webpages, and authorize processing of payments. This is a full-time position with hours Monday-Friday from 8:00 a.m. – 5:00 p.m. that will require flexibility to work night and weekend admissions events. Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Desired knowledge, skills, and abilities include: Exceptional interpersonal skills, including oral and written communication; strong organizational skills with the ability to multi-task and prioritize, detail oriented and attentive to accuracy while meeting deadlines; ability to exercise judgment, resourcefulness, diplomacy, discretion and confidentiality; demonstrated ability to work independently as well as in a collaborative team environment; ability to take initiative and anticipate needs, improve office efficiencies; demonstrated proficiency in MS Office, CRM’s, event management and financial systems (PeopleSoft, ERS, LionPATH and Campus Nexus preferred but not required). Preference will be given to candidates with a proven history of exceptional customer service experience; strong oral and written communication skills; ability to manage multiple projects and meet deadlines; ability to work with diverse audiences; ability to learn quickly; and the ability to work in a fast-paced environment.
